How do I change an employee’s tax code?

We recommend enabling automated updates to let HMRC handle tax code updates and student loan changes, and notify us about them. Changing an employee’s tax code will affect how much tax is deducted from their pay.

To automate updates, sign in to HMRC Online and go to:

PAYE for employers > View tax codes or notices and set up alerts > Change how you get tax code or student loan notices > then enable all options.‘Accountant’ as the designated role type, and ‘Invite’

The change will take effect immediately. Any paper notices received before the automation must be updated manually.

To ensure employees are taxed correctly, we’ll never change or reject HMRC’s tax codes.

If you still need to change a tax code manually, log in to Tide on the web and click on:

  • View your balances and perform bookkeeping

  • Add a category and VAT to your transactions

  • View and download your accounting reports

  • View your Self Assessment (if you’re a sole trader)

  • View and generate VAT reports, if you are VAT-registered

Admin > View Team > select an employee > Work & Pay > Tax > Update.Important: Before you share access with the respective accountant, you must carefully review what rights you will be granting them. The accountant's actions will be binding to your business. Furthermore, your accountant can’t pay your VAT to HMRC, or cancel your accounting subscription.

If you or your employee disagree with a tax code or need clarification, please contact HMRC directly.

See more about Tax Codes here.‘Profile and Settings’ > ‘Manage Team’ > ‘Team Members’ > select your accountant > ‘Remove Team Member’.

How do I see HMRC notifications in Tide Payroll?

Click on: Admin > Payroll > Settings > See messages from HMRC, and you’ll see a list of notifications, sorted by pay run.

Normally, the HMRC sends tax notifications on the 10th of each month.
